Applying to the Studierendenwerk: How does it work?

Thank you for your interest in living at the Studierendenwerk!

To make sure you get a place in student accommodation, please note the following information. You can find much more information in our FAQs on accommodation. If you have any further questions, please do not hesitate to contact us.

First of all: Due to the high demand, your application does not mean that we can offer you a place to live immediately or on your desired date. We therefore recommend that you look for alternatives at the same time.

Your application - step by step

  • Apply as early as possible - but only when your study place is really secure. You must upload your letter of admission or certificate of enrolment in the online application form. We will not accept your application without one of these two documents. (Please do not upload any other documents such as certificates, letters of recommendation, university applications, CampusCards, etc.) Applications without one of these two documents will not be accepted. You will not be informed of this separately.
    With this procedure, we want to reduce the administrative effort and, above all, keep waiting times as short as possible for everyone.
  • We only accept one application from each person for exactly one residential complex. Therefore, please think carefully about which residence you would like to live in before submitting your application. Multiple applications will be automatically cancelled.
  • Due to high demand, there are waiting times for all residences. The current waiting times can be found in the waiting time table on our homepage. Please take note of these times to decide which residence is right for you.
  • A tip: Rooms in shared flats are not only cheaper, but also become available much more quickly than single flats.

Keep an eye on your email inbox

  • Once you have sent your application, you will receive an email from us with a confirmation link. Your application is only valid once you have clicked on this link.
  • After that, you will receive an e-mail from us once a month with a link to confirm that you are still waiting for a place. This is the only way we can know whether you are still interested. This allows us to speed up processing for everyone. So please don't forget to click on the confirmation link.
  • As soon as we have a place for you, you will also receive the rental contract by e-mail. In the interest of all those waiting, you must then return the contract to us immediately (within four days!) - if we don't hear from you, we have to assume that you are no longer interested and we will offer the place to the next person on the list. Therefore, make sure that you check your emails regularly (even if you are travelling, for example).
  • A tip: rooms in shared flats are not only cheaper, but also become available much more quickly than single flats.

Very important

Please do not use an e-mail address from the Microsoft family for your registration. Our emails may then not be delivered to you and will not be found in your spam folder. This means that we will not be able to send you a room offer! This affects the following domains: @live, @hotmail, @outlook, @gmx, @windowslive

Information on data protection when applying for a place in a hall of residence via the online portal

  1. If you apply for a place in a hall of residence via the Studierendenwerk Oldenburg online portal, the data you enter there will be stored by a specialised IT service provider. Your data will be processed by the service provider on our behalf. As soon as we have a suitable room available, we will access the stored data and create an offer. We will send you your details by e-mail after they have been entered so that you can check them. This e-mail is unencrypted. The collection of data is necessary in order to match your accommodation request with our offer.
  2. Person responsible for your data
    The person responsible within the meaning of the General Data Protection Regulation is the Managing Director of Studentenwerk Oldenburg, Mr Thurner, Uhlhornsweg 49-55, 26129 Oldenburg.
  3. Person responsible for data protection
    The responsible data protection officer at the Studentenwerk is Mr Groen, Uhlhornsweg 49-55, 26129 Oldenburg, e-mail contact: Datenschutz(at)sw-ol.de
  4. Storage of your data in the further procedure
    When the contract is concluded, the personal data from the online portal is stored by us and further data is collected. The collection of data is necessary in order to conclude and execute the tenancy agreement. Information on name, date of birth, gender, home address, contact details, nationality, student status, bank details and other correspondence, including electronic correspondence, is stored. Your bank details will be passed on to the Studierendenwerk's main bank for the purpose of collecting the fee.
    Your data will not be passed on to third parties in any other way.
  5. Storage period
    The data in the application process will be stored for one year and then deleted if you do not extend your application with your monthly confirmation.
  6. Your rights
    You have a right to information from Studierendenwerk Oldenburg about which personal data we have stored about you, as well as a right to rectification, erasure and restriction of processing and a right to object to processing. You also have the right to data portability. You can assert this right against the Student Housing Department.   7. Your right to lodge a complaint with the state data protection officer
    You also have the right to lodge a complaint with the Lower Saxony State Data Protection Officer in the event of a data protection breach. You can contact the data protection officer of the Studierendenwerk beforehand.
  8. Your alternative to using the online form
    If you do not agree to the collection and processing of your data, you will not be able to apply via the online portal. In this case, you would have to contact us in writing to apply for a place in a hall of residence.
